An Ontario-based college enlisted Duklas Cornerstone Consulting Inc. (DCC Inc.) to conduct a comprehensive review of the Registrar’s Office processes in relation to the student lifecycle. The aim was to create process maps of current practices, which would inform the normalization of procedures within each functional area. This project was crucial for addressing the variability of practices in key areas such as admissions, financial aid, student records, timetabling, and progression.
The scope of the project involved a high-level review of the student lifecycle processes, with a focus on identifying gaps and areas for improvement. DCC Inc. conducted a series of on-campus discussion sessions and process mapping workshops with college managers. These sessions were aimed at providing a high-level overview of college-wide processes, fostering reflection on current practices and their impacts on students and staff. Tools and methodologies employed included systematic process mapping, stakeholder engagement workshops, and a thorough review of the college’s existing documentation and manuals.
The final deliverable for this project was a comprehensive report detailing process maps for domestic and international admissions, student records, timetabling, and financial aid. The report included an organizational structure briefing document to aid the change process and recommendations for next steps. This report serves as a foundation for future, more detailed reviews in each functional area, emphasizing the importance of aligning practices with strategic goals and accommodating system changes, especially considering the impacts of COVID-19.
Since the project’s completion, the college has made significant strides in standardizing its procedures and enhancing its service delivery. The insights gained from this review have been instrumental in driving cultural and operational changes within the institution.
